The challenge:

With close to 50 entities and offices spanning 12 countries, Nayax faced the complex task of managing corporate travel and expenses at scale. Their previous system was cumbersome, disconnected, and lacked the flexibility needed for a fast-growing global company.

Key challenges included:

  • Fragmented systems: Separate processes for travel booking, expense reporting, and payment reconciliation led to inefficiencies and errors.
  • Limited card access: Employees didn’t have corporate cards, forcing them to pay for trips personally and wait for reimbursements.
  • Manual finance workload: Finance teams spent nearly a week each month categorizing, validating, and reimbursing expenses.
  • Integration gaps: Legacy tools didn’t integrate cleanly with NetSuite, creating duplicate work and data inconsistencies.
  • Limited visibility and control: Spend data was siloed by region, making it difficult to enforce policies or track budgets in real time.
  • Post-trip approvals: Travel expenses were often approved only after they occurred, reducing compliance and oversight.

The outcome:

  • Time savings: Monthly reconciliation time dropped from about a week to just two days.
  • Unified platform: 70% of Nayax entities now operate on Mesh, with global rollout nearing completion.
  • Improved control & compliance: Pre- and post-expense approvals ensure accurate coding and budget adherence.
  • Operational efficiency: Centralized travel and expense data provide real-time visibility across all regions.
  • Employee experience: Simplified booking and expense submission improved adoption – now at 70%+ of eligible employees.
  • Scalable global solution: A unified travel and card platform supporting online and offline bookings with any TMC, giving local teams flexibility while maintaining global consistency and control.

The story:

To address these challenges, Nayax partnered with Mesh to unify its travel, card, and expense operations across all entities. The rollout began in the U.S. and Israel, both on NetSuite, and expanded to the UK, Lithuania, and China, with plans to cover 90% of global entities by the end of the year.

Working hand in hand with Mesh’s implementation team and an internal project manager, Nayax built a streamlined ecosystem for global spend management. Mesh’s travel platform introduced pre-trip approvals, integrated booking, and automatic expense reconciliation – all in one interface.

As part of the rollout, Nayax introduced a unified travel and card platform that supports both online and offline bookings and integrates seamlessly with any TMC. This agnostic approach gives local teams the freedom to use the travel solutions that best fit their region, while maintaining global consistency, policy control, and real-time visibility.

While early integration with NetSuite and KYB processes required careful coordination, Nayax and Mesh worked closely to refine workflows and build a scalable foundation that continues to evolve with new features and AI-driven insights.

The Conclusion:

Nayax’s journey with Mesh demonstrates how a fast-growing global organization can transform its travel and expense operations by replacing fragmented, manual systems with a unified, automated platform. By consolidating travel booking, cards, approvals, and expense management into one ecosystem, Nayax gained the visibility, control, and scalability needed to support nearly 50 entities across 12 countries.

Mesh now serves as the global T&E backbone for Nayax, enabling consistent processes, accurate data, and a scalable foundation that will continue to evolve as the company grows.
